FAQ

A certified or sworn translation is a translation by a professional translator who has taken an oath before the president of the court and is included in the Belgian national register of sworn translators and interpreters. By applying their stamp and signature on a translated document, this document becomes legally valid and has legal force in a different language.

You need a certified or sworn translation when you need a translation of an official or legal document that has legal force and validity. This is often the case if you need the translation for an official body or court. As a rule, you need a certified translation if you want to submit a translation to municipal or city services, a university, an employer or other public bodies. Typical examples include a birth or marriage certificate, a diploma, court documents or legal documents in the context of an inheritance.

Officialtranslations.be is an online platform that allows you to receive an instant quote and place an order for a professional certified translation. The convenience and speed of our system are what sets us apart from other translation vendors. We are a certified translation company and have in-house certified translators. If we don't have the language you need in-house, we rely on a trusted sworn translator within our network.

The aim of certifiedtranslations.be is to make the process of ordering a certified or sworn translation as easy as possible. If you need a certified translator, you often have to wait for a long time to receive quotes from different agencies or translators. Then you have to weigh out the pros and cons of every supplier without knowing in advance if the quality will be high and the deadline will be met. That can be an inconvenience, especially if the translation is important to you or if you need it urgently. You can use our instant quote tool to receive an instant quote and place an order for a certified translation, without having to wait for an answer to your request. We specialize in certified translations, and our vast experience guarantees fast and efficient service, so certifiedtranslations.be is a reliable partner for your certified translations. Still in doubt? Check out our Google reviews and find out what other people think about our service!

We believe your time is valuable, so we think it's essential that you can order your certified translation quickly and easily. For this purpose, we have automated the price calculator, quotation and payment process. However, the actual translations are processed by our team of experts, so by real people. You will find more information about our team on our Team page.

All documents are translated by native speakers of the target language who are registered as sworn translators in the national register of the Ministry of Justice and meet our quality requirements. They can be in-house sworn translators or external translators in our network.

The deadline is always specified in the overview when you place your order. Do you need your translation sooner? Please contact us via our contact page. We will then contact you as soon as possible with a suitable offer. Please note that the guaranteed deadline is the shipment date of your translation. We are not responsible for any delays in the postal services.

We can process virtually all file formats. However, our online quotation tool can only calculate an instant quote for a scanned PDF file, image files (jpg, png, or other), and Word files. If you upload other formats, our website will tell you that automatic price calculation is not possible and you will have the option to send your documents to us. We will then contact you as soon as possible with a suitable offer.

Our prices for translations are always based on the number of pages in your documents, the type of document, and the language pair. They are subject to VAT.

You can currently pay online using Bancontact, Maestro, Apple Pay and all credit cards through the secure payment services offered by Mollie.

Your order is final once the payment has been processed and the order has been accepted by certifiedtranslations.be. If you have placed an incorrect order or if you no longer require your translation for any other reason, please contact us at info@certifiedtranslations.be. If your order has not been processed yet, it can still be canceled with a full refund, subject to an administrative fee of 30 EUR. If the translation has been started or completed, the completed services will be billed, with a minimum of 50% of the order value. The remaining amount will be credited and refunded to you.

This is possible if we find errors in your order upon acceptance of the order. For instance, if we find that you have submitted a contract, but you indicated you wanted to have a birth certificate translated, we will modify the quote and send it to you for approval. Of course, we can also update your order if you have additional documents for translation that you did not upload the first time. Just contact us at info@certifiedtranslations.be or via our contact page and we will update your order.

We are committed to delivering high-quality translations. Our translators have all taken an oath to complete all translations conscientiously to the best of their knowledge and ability. If you are not satisfied with your translation for any reason, please contact us at info@certifiedtranslations.be and we will look for a solution together.

Starting from 1 December 2022, sworn translators have to place an e-signature on all certified translations. These digital certified translations are accepted by all official authorities in Belgium. If required, we can also send you a physicial copy. If you want to use the translation outside of Belgium, we can also have it legalized electronically and request an e-apostille. These documents with digital legalizations and apostilles are also valid for official purposes, but you can always ask us to send you a physical copy if required.

An apostille is a declaration that is added to a document by an official authority and that meets the form requirements mentioned in the Hague Apostille Convention of 1961. In Belgium, apostilles are issued by the Ministry of Foreign Affairs in Brussels. An apostille is a type of legalization. You will find more information on our Apostille page.

A legalization is the authentication or certification of a document. Legalizations can be issued by a ministry, embassy, or consulate. One specific type of legalization is the apostille.

Our team at certifiedtranslations.be includes experts in everything related to legalization and apostille procedures in Belgium and abroad. Please contact us at info@certifiedtranslations.be or via our contact form for specific advice.
